Frequently Asked Questions (FAQ)

Below are the platform’s current policies on lesson bookings, payments, refunds, recordings, and data retention. If you have any other questions, please contact us 😊

1. Lesson Bookings

Q1: How do I book a lesson?

After registering for a platform account, students can browse tutor profiles, lesson details, and available time slots, then complete payment and book a lesson through the system.

Once a tutor opens an available time slot, the lesson is confirmed when the student selects it and completes the booking and payment. No additional tutor confirmation is required.

Q2: Does the tutor need to confirm a student’s booking?

No.

If the tutor has opened the time slot, the system creates the lesson booking once the student completes the booking and payment. There is no need to wait for separate tutor confirmation.

Based on the booking details, the platform will provide the student with a lesson confirmation notice and relevant lesson information.

Q3: How far in advance must students book a lesson?

To give tutors enough time to prepare, students must complete their booking at least 48 hours before the lesson begins.

For example:

  • Lesson on September 20 at 14:00 → Book by September 18 at 14:00.
  • Lesson on September 20 at 19:00 → Book by September 18 at 19:00.

Time slots less than 48 hours away cannot be booked directly through the system.

Q4: Can tutors close time slots when they are unavailable?

Yes! Tutors can open or close available time slots to suit their schedules.

However, students can only complete a booking at least 48 hours before the lesson begins. Once the booking deadline has passed, students can no longer book that time slot.

Tutors can regularly review their lesson schedules and close any time slots they no longer wish to offer.

Recommended approach:

Tutors can review the following week’s lesson schedule each weekend or at another regular time. They can close any inconvenient time slots and leave other available slots open, without having to check every day.

Q5: Can a tutor agree on a time with a student before opening the slot for booking?

Yes. If a tutor has already agreed on a lesson time with a student through platform messages, social media, or another method, the tutor can open the corresponding time slot on the platform and then ask the student to complete the booking and payment.

The tutor and student agree to meet every Saturday at 10:00 a.m. → The tutor opens the Saturday 10:00 a.m. time slot → The student completes the booking and payment → The lesson is officially confirmed.

This approach is also suitable for tutors arranging regular lesson times with existing students.

Q6: Can I book several lessons at once with my regular tutor?

Yes! If the tutor has opened future time slots, you can book several dates at once and plan your upcoming lessons.

A student has a regular lesson every Saturday at 10:00 a.m. The tutor has opened the Saturday 10:00 a.m. time slots for August, so the student can book the next four lessons at once.

This secures the regular lesson times in advance.

Q7: How soon after payment is a student’s booking confirmed?

After payment, the system creates a confirmed lesson booking and emails you the relevant details.

You can also view the following in the member center or lesson page:

  • Lesson confirmation notice
  • Lesson time details
  • Online lesson link (if applicable)
  • Tutor information
  • Other lesson information

Q8: What if the tutor cannot accommodate a booking?

Under normal circumstances, a time slot opened by a tutor is available for students to book, so the booking is confirmed once the student completes it.

If special circumstances prevent the tutor from teaching at the originally booked time, the tutor should contact the student as soon as possible to coordinate rescheduling or another lesson arrangement.

If the lesson cannot take place, Rhoda’s Language Hub will help with rescheduling, cancellation, or refunds as appropriate.

Q9: How do I start a lesson?

Before the lesson begins, students can use the following:

  • Email notification
  • Platform member center
  • Lesson page

These provide access to the lesson details and lesson link.

Before the lesson begins, please confirm that:

  • Your internet connection is working properly
  • Your microphone and camera are working properly
  • You are signed in to the correct account
  • You have confirmed the lesson time
  • You have checked the lesson link

This will help the lesson run smoothly.

2. Lesson Validity

Q10: Do lessons have an expiry date?

Yes! Each lesson plan has a validity period to help tutors plan their schedules and prevent lessons from remaining unused for too long.

Lesson validity always starts on the purchase date, regardless of when the first lesson takes place.

Lesson packageBase validity periodAdditional buffer periodTotal validity period
Single lesson / 4 lessons28 days14 days42 days
8 lessons56 days28 days84 days
12 lessons84 days56 days140 days

For example, if you purchase four lessons on September 1:

  • Base validity: September 1–28
  • Buffer period: September 29–October 12
  • Use by: October 12

The expiry date shown in the system applies. Please use your lessons within the validity period.

3. Cancellations and Rescheduling

Q11: Can I cancel or reschedule if something comes up?

Students may coordinate a cancellation or rescheduling with their tutor at least 24 hours before the lesson begins.

If less than 24 hours remain before the lesson, it will generally be treated as used.

If the tutor agrees to offer a make-up lesson or reschedule, the platform will help process the lesson adjustment.

Q12: What if I cannot attend and the 24-hour deadline has passed?

Within 24 hours of the start time, the lesson will generally be treated as used.

If there are special circumstances, contact your tutor and Rhoda’s Language Hub. We will help based on the situation.

Q13: What happens if I am late or do not attend?

If a student has not joined more than 15 minutes after the scheduled start, they will generally be considered absent and the lesson treated as used.

If there are special circumstances, contact your tutor or Rhoda’s Language Hub as soon as possible so we can help understand the situation.

4. Payments and Refunds

Q14: How are payments processed?

Payments are currently processed through a third-party payment service.

After payment, the system creates the lesson order and booking. Lesson funds are then handled through the platform’s transaction process.

Q15: How do I request a refund?

To request a refund, contact Rhoda’s Language Hub directly.

We will review the order, booking time, lesson usage, payment records, and relevant communications before helping with the refund. If the student and tutor have reached an agreement, we will assist based on what both parties have confirmed.

Q16: Does the tutor decide whether I receive a refund?

Refunds are not based solely on one party’s decision.

Rhoda’s Language Hub reviews the order, booking, lesson usage, and relevant records, then helps resolve the request under platform rules and applicable law.

If the student and tutor have agreed on a solution, the terms confirmed by both parties will guide the next steps.

Q17: Where will my refund be sent?

Refunds are generally returned to the original payment method.

The actual time for the refund to appear depends on the processing times of the bank, credit card company, or third-party payment provider.

Q18: How long does a refund take?

Once we receive your refund request and verify the relevant information, we will help start the refund process.

The time for the refund to appear varies with the payment provider’s and bank’s processing times.

Q19: Can I get a refund for unused lessons in a partly used package?

Package refund requests are assessed based on lessons already used, the order details, refund rules, and applicable law.

The refund is therefore not necessarily calculated as “unused lessons × price per lesson.”

If you need a refund, contact us and we will help review your request.

5. Lesson Issues and Disputes

Q20: Who can help if my tutor and I disagree about lesson arrangements?

You can contact Rhoda’s Language Hub directly.

We will help understand both sides and work through the issue using the order, booking, payment, lesson records, and relevant communications.

Q21: How soon should I contact the platform about a lesson dispute?

If a problem occurs, we recommend contacting Rhoda’s Language Hub as soon as possible.

Some lesson records and recordings have retention limits. Providing information promptly helps us verify what happened.

We will assist based on the available records and applicable rules. Any overriding legal requirements apply.

Q22: How does the platform establish what happened during a lesson?

Depending on the circumstances, we may review:

  • Lesson orders and payment records
  • Booking and cancellation records
  • Platform messages
  • Attendance status
  • Video evidence (if available)
  • Other relevant information provided by the student and tutor

This helps establish what happened and address the next steps under platform rules and applicable law.

6. Recordings and Data Retention

Q23: Will lessons be recorded?

Some lessons may be recorded for:

  • Dispute resolution
  • Teaching quality assurance
  • Platform safety and security

Recordings may be retained as evidence.

Whether a lesson is recorded depends on the lesson and the platform settings at the time.

Q24: How long are lesson recordings kept?

Lesson recordings are generally kept for 72 hours and then automatically deleted.

If a lesson involves a refund, dispute, or another matter requiring attention, the platform may extend retention as needed.

If a student wants a lesson recording for review, the platform may provide it after obtaining the tutor’s consent.

Do not download, record, reproduce, publish, or forward lesson recordings without the consent of the people concerned.

7. Reminders for Tutors

Q25: What should tutors consider when opening time slots?

Tutors can open time slots on the platform based on when they are actually available to teach. We recommend the following approaches:

Students with regular time slots:

Agree on a regular lesson time → Open the corresponding slots → Ask the student to complete the booking and payment → Multiple lessons can be booked at once.

Students making standard bookings:

Open available slots in advance → The student chooses a slot and completes the booking and payment → Teach at the confirmed time.

Time slots you do not want students to book:

Simply close the time slot.

Because students must complete their bookings at least 48 hours before the lesson, tutors do not need to keep checking the platform to prevent last-minute bookings.

Tutor opens a slot + student completes booking and payment = confirmed lesson booking.

Please check your schedule before opening time slots to avoid having to cancel at short notice.
